When this policy applies
This policy applies when you check the separate optional SMS box on either the Reef Warden contact form or support-ticket form and submit it. Entering a phone number, submitting either form without its checked box, or using the message widget does not enroll that number.
Each opt-in is limited to that submitted inquiry or support ticket. Consent for one inquiry does not authorize updates for another inquiry or ticket. A web opt-in request is recorded as inactive and is not eligible for messages until Reef Warden verifies control of the number and activates messaging with working STOP, HELP, and suppression controls.
Information we collect for SMS
- Your name, selected country or region, submitted number, and normalized telephone number.
- The exact consent disclosure, immutable version and hash, server timestamp, fixed form identifier, IP-derived security hash and key version, and bounded browser user-agent.
- Verification, active, and suppression status, including the date and source of consent, confirmation, revocation, HELP, wrong-number, and re-consent events.
- When messaging is activated, messages sent to and from the program and provider message, delivery, carrier, failure, and webhook records.
- Records needed to demonstrate consent, honor opt-outs, prevent accidental re-enrollment, investigate abuse, and comply with law.
How SMS information is used
SMS information is used only to manage the opt-in request and, after verification and activation, send recurring automated messages within the exact scope selected. Contact-form consent is limited to that inquiry, requested availability, scheduling, and support. Support-form consent is limited to that submitted ticket, ticket status, requested follow-up, scheduling, and support.
Neither scope covers offers, launches, discounts, cross-sells, newsletters, promotional announcements, safety-critical aquarium alerts, unrelated marketing, another inquiry, or another ticket.
Your choices
Before messaging activation, withdraw a pending request through the contact form. Once messaging is active, reply STOP, QUIT, END, REVOKE, OPT OUT, CANCEL, or UNSUBSCRIBE to suppress all Reef Warden automated SMS to that number. We may send one non-promotional confirmation. Reply HELP for help or contact us through the website.
Changing email or contact preferences does not silently reactivate a suppressed number. A new explicit opt-in and verification are required.
Retention and security
We keep SMS records only as long as reasonably necessary to operate the program, preserve consent evidence, honor opt-outs and global suppression, resolve disputes, prevent abuse, and comply with law. Suppression evidence may be retained longer than an ordinary inquiry so a deleted lead is not accidentally re-enrolled. We use reasonable safeguards, but mobile networks and messages cannot be guaranteed completely secure.
